Fingal East Media is operated by Guildermont Limited, the controller responsible for the personal information described in this notice.
This notice covers our newsletter, website, event directory and communications with us.
For privacy enquiries or requests, email [email protected] or write to:

We use your email address and information you choose to provide to manage your subscription and send the Fingal East Media newsletter through beehiiv.
We rely on your consent to send newsletters. You can unsubscribe using the link in any newsletter or by contacting us. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.
We use beehiiv’s recorded email-open activity to identify inactive subscriptions and manage our subscriber list. Open records are indicators of activity, not proof that a person has read an email: privacy features and automated systems can affect them.
When you create an organiser account, submit an event or purchase a listing or membership, we process your account details, contact information, event content and relevant billing and subscription records.
We use this information to provide the requested service, review submissions, publish approved listings, manage memberships and send account, payment and service messages. The legal basis is performance of our contract with you, or taking steps at your request before entering into a contract.
Information included in approved public event listings is visible to website visitors. Only include information you are entitled to publish.
Stripe processes card payments. We receive the payment status, transaction references and other information needed to administer purchases and subscriptions.
You need to provide the information required for an account, listing or purchase so that we can deliver that service. Newsletter subscriptions are separate from account and service communications.
We use your contact details and message contents to respond to enquiries. Where an enquiry relates to a service you requested, we process it to provide that service. Otherwise, we rely on our legitimate interest in responding to enquiries and managing business communications.
We also process relevant records where necessary to protect our services, investigate misuse and establish, exercise or defend legal claims. Our legitimate interests are keeping our services secure and protecting our business and users.
We retain and use accounting records where necessary to meet applicable legal obligations.
Our website uses cookies and similar technologies. Some support essential website functions; optional tracking supports advertising measurement.
The cookie banner lets you accept, decline or customise optional cookies. We rely on consent for optional advertising tracking.
We use the Meta Pixel to measure website visits and newsletter signups and assess the effectiveness of our Facebook and Instagram advertising. Google Tag Manager manages our signup tracking tag.
When advertising tracking is enabled, Meta can receive information about page views and signups, together with technical information such as IP addresses, browser information, page addresses and cookie identifiers.
Our signup tracking has advanced matching enabled. Where an email address is available to this feature, a hashed version can be sent to Meta to help match the signup to a Meta account. Hashing converts the address into a coded value; it does not make the information anonymous.
Further information about Meta’s processing is available at https://www.facebook.com/privacy/policy/.
We use the following providers to operate our services:
beehiiv — newsletter website hosting, subscriber management and newsletter delivery.
WordPress.com and Automattic — event-directory hosting and associated website services.
Stripe — payment processing and subscription administration.
Google Gmail, connected through FluentSMTP — event-directory service emails and correspondence.
Meta and Google — the advertising measurement and tag-management functions described above.
The information each provider receives depends on its role. It can include subscriber or account details, event content, billing information, email addresses and message contents, or website activity and technical information.
Providers may also process information for their own purposes as described in their privacy notices, such as payment security or operating their platforms.
Our Gmail integration authorises sending emails through our account. It does not give our website access to subscribers’ Gmail inboxes.
We may disclose relevant information to professional advisers or authorities where necessary to obtain advice, meet legal obligations or deal with legal claims.
Our providers may process information outside the European Economic Area, including in the United States.
The transfer arrangements depend on the provider and service. Providers’ published terms describe mechanisms such as European Commission adequacy decisions and Standard Contractual Clauses, which impose data-protection obligations on recipients.
Contact [email protected] for information about the safeguards applicable to your information and how to obtain details of them.
Newsletter subscriptions:
We use beehiiv’s recorded email-open activity to identify subscribers with no recorded newsletter opens in the previous 90 days. We email them to ask whether they wish to remain subscribed. If they reply asking to stay, we retain their subscription. If they do not respond within 14 days, we delete their subscriber record.
Organiser accounts and event records: Retention depends on whether the account or listing remains in use, whether a membership or transaction still needs to be administered, and whether records are needed to resolve an outstanding issue or legal claim. Information no longer needed for these purposes is deleted or anonymised.
Enquiries and Gmail correspondence: Retention depends on whether the enquiry is resolved and whether the correspondence remains necessary to administer a service, document an agreement, meet a legal obligation or handle a dispute. Correspondence no longer needed for these purposes is deleted.
Website email-delivery logs: These are configured for automatic deletion after 14 days. This applies to website logs, not to messages stored in Gmail or separate account and payment records.
Invoices and payment records: We retain invoices and payment records for seven years from the end of the accounting year to which they relate. Our accounting year ends on the last day of February.
Depending on the circumstances, you can request access to your personal information, correction of inaccurate information, deletion, restriction of processing or a portable copy.
You can object to processing based on legitimate interests, taking account of your particular circumstances. You can object to direct marketing at any time.
Where processing relies on consent, you can withdraw that consent. Withdrawal does not affect processing lawfully carried out before it.
Send requests to [email protected]. We may request information reasonably necessary to verify your identity. Rights are subject to applicable conditions and exceptions; if we cannot fulfil a request, we will explain why.
You may complain to Ireland’s Data Protection Commission at https://www.dataprotection.ie.
We may update this notice when our services or information-handling practices change. We will publish the updated version on this page and show its last-updated date.
